Getting Started

This guide takes you from a new account to your first fee collected online. It uses coaching vocabulary, Students, Batches, Branches, Fees (a gym sees members and plans, a PG sees tenants and rent); the app itself relabels every screen to match your institute type.

Create your institute account

Sign up at app.feezy.one. Three things happen during signup:

• You pick the business type that fits you best: Academy, Studio, Club, Residence, or Community. Feezy then uses matching language on every screen. You can change this freely until you activate a plan.
• You verify your phone with a 6-digit code sent on WhatsApp, and confirm your email. Your account is created only after both checks pass.
• Feezy checks in real time whether your institute name is available.

Feezy is free forever for up to 50 members and 1 branch, with no card needed. The paid plan starts at ₹999 per month plus GST and scales with your size.

Let Feezy Spark set things up

After signup, the Feezy Spark guided chat sets up your institute one short question at a time, replacing nine separate settings pages. It shows quick-tap suggestions, a progress bar, and a live checklist; any non-essential step can be skipped, and earlier answers can be edited without starting over.

You can also type in your own words. Spark reads what you wrote and fills in the matching setup fields, showing each suggestion for you to accept or reject. If you prefer forms, a Choose manually panel sits alongside the chat.

Inside the chat you can name your first branch and batch, import students, set up a fee with a late fee rule, turn on online payment collection, and configure reminder messages from a ready-made starter pack. A single Set it all up button then creates everything at once.

Add branches and batches

Your first branch and first batch are named during guided setup. Later, manage branches from Settings and create new batches from the Students area. Rename a level once, for example changing "Batch" to "Year", and every label across the app updates right away.

Add your students

One at a time: a name and phone number are enough, email is never required. You can set an enrollment date for students who joined a while ago, so their bills are generated correctly.

By spreadsheet: download the ready-made template, upload your list, and review a preview of every row before anything is created. Choose which fees apply during the import, and upload straight into a specific batch. Imports only add students to the branch you are working in, and report any rows that belong elsewhere.

By paste: inside the Spark chat you can paste a student list from WhatsApp, a spreadsheet, or anywhere else, and names and phone numbers are pulled out automatically, with a preview to fix before importing.

As soon as a student is added with a phone number, that parent can log in with a one-time code and see their child's fees, with no separate setup step.

Create your first fee

Create a fee from the Fees area, or inside the Spark chat. Pick the amount and a start date, and the billing schedule is worked out automatically. Discounts can be attached when the fee is created, and late fees are applied automatically every night for overdue payments, respecting the cap you configure. Obviously wrong entries, such as a due date in the past or a zero amount, are blocked with a clear explanation. Monthly fees due on the 29th to 31st correctly land on the last day of shorter months.

The moment a fee is created, it gets one permanent payment link and QR code, branded with your institute name and logo. The link never expires and always shows the current amount due.

How payment links reach parents on WhatsApp

Before money can move online, complete payment verification: the Payment KYC page in Settings shows exactly which documents your business type needs. Once submitted, the status moves to Being Verified and then Collections Enabled.

Every new institute starts with three ready-made WhatsApp reminders: a friendly nudge, a firm reminder, and a final notice. A family with several unpaid fees gets one combined message per billing cycle, with a single link covering everything they owe. Tapping the link opens a branded payment page where parents pay by UPI or card. You can also send a reminder any time from a student's page, and parents can message Feezy's WhatsApp number themselves to see their dues and get a Pay Now link.

Where to see money arriving

• The Dashboard shows collections, unpaid fees, and student totals at a glance, with a collections chart. Every card clicks through to the detail view.
• The Collections screen lists every payment, payout, and refund across your organisation, with totals for money collected, paid out, and pending payout.
• Online payments are recorded the moment a parent completes them; the parent gets a WhatsApp confirmation and a sequentially numbered receipt you can download.
• When Feezy pays out a settlement to your bank account, the owner gets a WhatsApp message and an email receipt.
