Batches
Organise students into branches and nested batches, assign fees at the batch level, move students safely, and read batch-wise collection figures.
A batch is a set of students who study, train, and usually bill together. Feezy uses the word that fits your institute: batches for a coaching academy, classes for a dance or music studio, plans for a gym, or rooms for a PG hostel. This guide uses coaching vocabulary throughout; everything here works the same whichever wording your account shows.
What a batch is in Feezy
A batch is more than a label on a list. It is where fees attach, where student counts live, and where collection figures roll up. Every batch has its own page with a shareable web address, so you can bookmark a batch or send its link to a colleague and land on exactly the right view.
Set up your structure
Your institute structure starts with a branch for each physical location. Inside a branch, batches can nest into levels that match how you actually run things. A typical coaching setup is a Course level with batches inside it, for example:
- JEE Foundation → Morning Batch
- JEE Foundation → Evening Batch
- NEET Crash Course → Weekend Batch
New institutes are walked through naming their first branch and first batch during guided setup, and every account starts with a ready-to-use structure so students can be added from day one. You can also rename any level to suit your institute: change "Batch" to "Year", for instance, and every label across Feezy updates right away.
To set this up, sign in at app.feezy.one and open your batches area from the sidebar.
Put every student in the most specific batch
When your structure has more than one level, always place each student in the innermost batch, not a level above it. A student in Morning Batch is automatically counted under JEE Foundation and under the branch as well, so nothing is lost by being specific. Going the other way does not work: a student parked at the Course level sits outside every batch beneath it, which muddles batch counts, batch fees, and batch reports.
Adding a student follows your structure automatically, and students who have not been placed anywhere appear under the Unassigned tab on the Students page so they are easy to spot and fix.
Assign fees to a whole batch
Instead of attaching a fee to students one by one, assign it to the batch:
- Everyone currently in the batch is billed, and students who join the batch later are picked up automatically. This works even if you assign the fee to an empty batch before admissions start.
- When importing students from a spreadsheet, you can choose which fees apply to each batch during the import itself.
- On the Students page you can select several students at once and assign or remove fees in a single action, with a confirmation step before anything is removed.
- From a batch page you can manage fees and send reminders in bulk, with filters such as Paid, Unpaid, Archived, and Unassigned.
- Removing a fee from a student or batch properly stops all future billing for it.
Move students between batches
Moving a student is deliberately not a one-click action. It raises a request that an authorised administrator must approve before anything changes. Reviewers are emailed, and a clear pending-approval notice appears wherever it is relevant. While choosing the destination you see the full path, for example JEE Foundation → Evening Batch, so there is no guessing between similarly named batches.
Fees are handled safely through the move:
- The student's bills and payment history stay intact on their record.
- Collected, unpaid, and waived totals on both the old and new batch pages remain accurate after the move.
- Bills that were already cancelled in a previous batch never come back, even if a student moves through several batches over time.
Batch analytics
Each batch page carries its own numbers so you do not need to build reports by hand:
- Summary figures for Collected, Outstanding, Write Offs, and Fines.
- Student counts split clearly into Paid, Unpaid, and Partial.
- A month picker to view any past month's figures or all-time totals.
- A View fee collection history button listing every billed payment, with search, filters, a date range, and a downloadable file for your records.
Reminders sent from a batch page go only to the students actually shown after filtering, so a nudge meant for one batch never leaks to another. You can also give a coordinator access to specific batches only, rather than a whole branch. And Feezy's built-in assistant can find a student or batch and report its collections when you ask in plain language.
